I have some customers that just call in the info over the phone or just send payments without filling out checkout..
Hoe do I manually fill out checkout for the customer?

Hi there,
In post-sale, click the number keys next to the item. Click the "go to buyer checkout" option, and you can go through and enter the information for your buyer.

If you don't have a Verisign account (this would allow you to accept credit card payments when your customer checks out) you will need to either have the customer go to Paypal and make a payment there, or obtain their Paypal account information so that you can log into their account and enter it. I would highly recommend you ask them to go to Paypal and make the payment themselves.
Do your customers know that they need to make the payment to you via Paypal?

To enter a payment you took over the phone, click the number keys next to the closed item and enter the payment as a credit under "Apply Payments/Credits". This will not process the payment, but it will allow you to record it.
